Overview
In TaxLab, entities represent the clients or taxpayers you manage, and are the focus of all your tax management tasks. You can create entities, or import existing entities.
Entity types
TaxLab supports a range of entity types, including consolidated groups.
Add or import entities
There are three methods you can use to add entities to your TaxLab organisation.
- Retrieve Taxpayers from Inland Revenue (IR) via your IR connection (only available for organisations that are tax agents).
- Manual bulk upload (for eligible large organisations that are not a tax agent, and have a large number of entities).
- Single entity creation (recommended for organisations that are not a tax agent).
Retrieve Taxpayers from Inland Revenue (IR)
Once your organisation is connected to IR, you can use this connection to populate all the IRD numbers on your client lists into TaxLab, as entities. You’ll need to contact us first to enable the “retrieve taxpayers’’ feature with Inland Revenue. Once enabled, the first retrieval from Inland Revenue will be processed overnight.
Once Support has notified you that retrieve taxpayers has been enabled:
- From your TaxLab home screen > Click Administration.
- Under Settings > Click Integrations.
- Click the name of your IR connection to open it.
- Click Retrieve taxpayers.
Only the user who set up the IR integration will be able to import entities through the retrieve tax payers feature.
Your IR integration will start importing your entities from IR, including their IRD number, form type, balance dates and EOT status. The IR integration is linked for the tax type INC, so it won't import details such as GST or FBT frequency. If you have entities with 6 monthly payment dates for provisional tax, you will need to manually update GST filing frequency in their entity settings.
- From your TaxLab home screen > Click the Entity.
- Under Tax years > Click the current tax year.
- Review the GST filing frequency. Any changes you make here will flow forward into future tax years.
We recommend checking all entity data once the import is complete.
Bulk entity upload
If you have a large number of entities, you may be eligible to use our bulk entity upload. Please contact us to discuss this option.
Create a single entity
We recommend this approach if you have a smaller number of entities, and do not have access to the ‘retrieve taxpayers’ function.
- From your TaxLab home screen > click the Create Entity button.
- Select the relevant Country and Entity type.
- Enter the entity's legal name which is the name to be used in the tax return.
- Enter the entity’s tax file number.
- Click Confirm.
Connect entities to Inland Revenue
If you have added entities to your TaxLab organisation via a bulk upload or manually, these will need to be linked to your IR connection to enable e-filing and retrieve tax payment transactions.
- From your home screen > click Administration > Under Settings > click Integrations.
- Click the name of your IR integration.
- Click Add taxpayers (you will only see entities displayed that have been created and IRD numbers added to).
- Click the checkbox next to the entity(s) you want to add to the IR integration.
- Click Confirm.
