Managing IR3 returns that have been auto-assessed

Overview

Individuals who receive an auto assessment and are set up in TaxLab will still have an income tax return filing task. This article outlines how to manage tasks for individuals who require no additional work, as well as how to manage individuals that have been auto-assessed but an amended income tax return needs to be filed.

Recording an auto-assessed return as filed

There are situations where individuals who are not income tax return filers, but who receive annual auto-assessments, still need to be managed in TaxLab. These include:

  • Individuals whose correspondence is managed via Tax Inbox+
  • Individuals that are part of a group entity structure
  • To allow complete visibility of all IRD numbers that are on a tax agency

If IR has correctly auto-assessed an individual, there are two options to manage the income tax return task associated with that tax year.

1. Mark the return as “Filed by other party”

Use this when you just want to clear the “Not Started” status. Using this method means that no filing date is captured.

  1. From the TaxLab home screen, in the navigation bar select Workflow > Returns.
  2. Select the correct tax year from the dropdown, then select the check box of the individual.
  3. Select Edit.
  4. Set the Progress to Filed by other party, and select Save changes.

2. Use the “Paper” filing method to record a filing date

Use this when you want a clear audit trail. This allows reporting to reflect the auto-assessment date.

  1. Take the return through the filing process (open the tax year, confirm prefill information etc.)
  2. On the Filing and Payment Schedule, select the filing Method as Paper. This enables a Set a filing date field.
  3. Enter the date the auto-assessment was confirmed (if applicable).
  4. Add a Note stating it was an IR auto-assessment.

Filing an amended IR3 return

If an individual has received an auto-assessment, and you determine that instead an IR3 should be filed, the return must be filed as an amended return.

Warning:  TaxLab cannot submit an amendment flag or amendment reason via e-file. These are mandatory for amended IR3s, so the IR3 must be filed through myIR
  1. Prepare the IR3 in TaxLab as usual.
  2. Log in to myIR.
  3. File the IR3 as an amended return, including the required amendment reason and supporting details.
  4. In TaxLab, optionally:
    1. Use the Workflow status to mark the return Filed by Other Party, or
    2. Take the return through the filing process (open the tax year, confirm prefill information etc.) and on the Filing and Payment Schedule, select the filing Method as Paper. This enables a Set a filing date field and filing notes, to keeps your compliance tracking up-to-date.
