Add a file to an entity

Overview

Files or file links can be attached to an entity at the entity, tax year, task, account or workpaper level. These are useful to provide additional supporting or verification information for an account. When an account has a file attached, the file icon on the trial balance will display as blue. 

Add a file to an account or workpaper

  • From the Trial balance, select the name of an account or workpaper.
  • Select the Files tab.

The Files tab contains 5 sub-tabs:

  • Attached: files that have been attached to the account.
  • Available: files that have been uploaded but not attached to the account.
  • Archived: files that have been archived.
  • Quarantined: files or file links that have been uploaded that the software has identified security concerns with. We recommend removing and checking these as you will not be able to open them in the software.
  • All: all files, including badges displaying their status. 

From the Attached, Available, or All sub-tabs, you can select Upload file or Insert link. The blue settings cog next to these allows you to change the order in which files are displayed. You can sort by Name, Date Added, Added By, or Size.

  • Upload file gives you the option to upload a single file, or by selecting the dropdown arrow, uploading a zip containing multiple files.
  • Insert link allows you to give your file a name, and then enter the URL. This is useful if your organisation uses a web-based document management system.

The settings cog next to the attached file or file link allows you to remove the file from the workpaper, replace the file, archive or delete. Removing the file from the workpaper will move it to the Available tab, and archiving the file will move it to the Archived tab.

Once you have attached a file or file link to an account, the file icon will display blue on your trial balance.

Add a file to an entity

From the entity details screen, select the Files tab.

This tab shows all files added to an entity. You can use the Upload file or Insert link functionality here. Files attached at the entity level will be shown as Available at every other location within that entity that files can be attached.

Add a file to a tax year

Files can be attached at the tax year level, without being attached to a specific account or workpaper. Select the three ellipses at the top right of the navigation bar to find the files menu.

This functions in the same way as attaching files at the entity level. Files attached here will appear as Available to be attached to accounts and workpapers in any tax year. All files that have been attached to an entity will display listed here.

Troubleshooting

File link isn't working

If you have linked a file to your account or workpaper, but when the file is selected it does not open, you will need to check your link is still accurate and live, and that the document at the link has not been moved.
