Sign off Accounts

All users who have access to the entity can sign off the accounts.


Once the review process is complete and you are happy with an account and its workpaper data, you can sign it off. In other words, mark it as approved.


Signing off an account is different to signing off a return, which has its own workflow and statuses.


There are four places where you can sign off an account:

  • On the Trial balance page, in the Signoff column (click the Workpapers tab > Accounts).
  • On an account page, in the Status panel (click the Workpapers tab > Accounts > click the account name)
  • On the Workpapers page, in the Signoff column (click the Workpapers tab > Workpapers).
  • On the Tax Position page, in the Statement of Taxable Income, in the Signoff column.


In the Signoff column, for every user who has access to the entity, there is a Signoff button with the user’s initials on it. The system uses a colour code to track the status of the sign off process.


Colour

Meaning

GreyThe account has not been signed off yet. To sign off the account, in the Signoff column, click the button with your initials on it.
GreenThe account has been signed off. To revert back to the Unsigned off status (grey colour), for example if you signed the account off by mistake, click the button with your initials on it.
OrangeA change was made to the account after it was signed off. You will need to review the changes and sign the account off again (see below).


If you see an orange Signoff button, to follow the audit trail and identify what was changed after you initially signed off the account:

  1. Open the account.
  2. Click the Activity tab.
  3. Find the record of when you last signed off the workpaper, then look above that to see a record of what was changed since you signed it off.


To accept the changes and sign off the work paper again, click the Signoff button in the Status panel on the right of the screen.
