Overview
Managing motor vehicles and drivers in TaxLab for Fringe Benefit Tax (FBT) purposes begins with adding or importing vehicle and driver details. The software will then automatically calculate the benefit value based on the vehicle cost and the number of days each driver uses a vehicle. The calculated benefits are then included in the benefit workpaper and flow through to the FBT return.
Import vehicle or driver data
If the entity has a large number of vehicles and/or drivers, the vehicle and driver data can be imported each quarter, using the FBT import template. Data can be imported either by vehicle or by driver. When drivers are imported, the vehicles register in the software is also automatically updated. Vehicle and driver data are separated for reference purposes but are aggregated for tax calculation any analytics.
- In Microsoft Excel, prepare your source data to match the requirements of the FBT import template.
- Select and copy your data (including the column headers).
- In Taxlab, in the entity’s FBT calculation, in the navigation bar select Workpapers > Vehicles or Drivers, as required.
- On the Vehicles or Drivers screen, select the relevant Quarter tab.
- Select the Import button.
- Paste the data into the popup window.
- Select the Import to [20xx tax year] button.
Manually add motor vehicles
If the entity has a small number of vehicles, these can be manually added one by one in the first quarter. In subsequent quarters, the vehicles can be rolled over, effectively telling the software that the data is the same. If any items have changed, they can be manually edited.
- From the entity's FBT calculation, in the navigation bar select Workpapers > Vehicles.
- On the Vehicles screen, select the relevant Quarter tab.
- Select the New button.
- Enter the vehicle details.
- Select Save.
Manually add drivers
To add a driver, they must be already in the software as an employee, and the vehicle they drive must be already added too.
- From the entity's FBT calculation, in the navigation bar select Workpapers > Drivers.
- On the Drivers screen, select the relevant Quarter tab.
- Select the New button.
- In the Search text box, start typing the name of the employee you are adding as a driver, then select the employee from the dropdown list.
- In the Motor vehicle text box, start typing the name of the vehicle you are adding the driver to, then select the vehicle from the dropdown list.
- Enter the number of days the vehicle was available to the driver.
- Add any other details.
- Select Save.
Roll drivers over from the previous quarter
When starting a new quarter, if the drivers remain the same as in the previous quarter, they can be rolled over from that quarter once they are in the software.
- On the Drivers page, select the Quarter tab, that you want to roll the drivers into.
- Select the Roll over button.
