Add a query or note

Overview

Queries and notes can be used to ask and answer questions, or add additional information to accounts, workpapers, or tax calculations. This article will show you how to add each of these, and explain in which circumstances each type is best to use.

How to use queries

Queries can be managed in two locations:

  • The Queries tab on each account or workpaper page
  • The main Queries page, under:
    • Workpapers > Queries

Post a query to an account or workpaper

  1. Navigate to the Trial Balance page or workpapers page and select the account or workpaper.
  2. Select the Queries tab.
  3. Enter the query in the text box and click Post.

Posting a query activates the Query button (orange), next to an account or workpaper, indicating an open query.

Post a query to an entity

Post queries without linking them to a specific account.

  1. Select Workpapers > Queries.
  2. Select New.
  3. Enter the query and select Save.
Info: Once a query has been posted it can not be edited or deleted. Queries on accounts and workpapers will only be removed if the account or workpaper is deleted from the entity.

Address and close a query

On an account or workpaper

  1. Locate the account or workpaper required > select to open.
  2. Enter your reply in the text box.
  3. Select Post.
  4. On the original query > select Close

On the queries page

  1. On the query > select Reply.
  2. Enter your reply in the text box.
  3. Select Save.
  4. Next to the reply or original query > select Close.

Sort and filter queries

  1. Navigate to Workpapers > Queries.
  2. Select the Settings button.
  3. Use Sort By, Created By, and Show filters.

Print Queries

To generate a PDF list of open queries:

  • Select the Print icon in the menu bar > select Queries.

How to use notes

Notes activate the Note button (blue) on the Trial Balance page.

Add a note

  1. From the Trial Balance or Workpapers select the name of an account or workpaper.
  2. Enter the note in the Notes box.
  3. Select anywhere outside the Notes box to save it.

You can edit and remove notes at any time. Notes that have been removed will still display in the activity log for the entity.

Activity log

For auditing purposes, the system records each user’s activity against the entity. The activity log displays a list of that activity. For example, you can see when a particular user was added or removed.

  1. Open the entity’s Home page.
  2. Select the Users tab.
  3. Select the Activity tab.

Troubleshooting

Can't edit or delete query

Once a query has been added, it can not be edited or deleted. A query will only be removed from an entity if the account or workpaper is deleted from the entity or tax year. 

Note has changed

You can view changes to an account or workpaper from the activity tab in the account or workpaper. 

  1. Open the workpaper or account.
  2. select the Activity tab.
