The Files feature allows you to upload a file against an entity and share files between accounts.  

The file can be left at the entity level for general reference purposes, or attached to a specific account or workpaper later.

You can upload, view and manage the files from different locations in the system:

  • On the entity’s Home page > Files tab.
  • In the entity’s income tax return calculation > Files tab (in the top menu).
  • In the entity’s income tax return calculation > trial balance account page > Files tab.
  • In a payment task > Files tab.
  • In a return task > Files tab.

On an account page, on the Files tab you can view any files that were attached to the account. You can also upload a file to the entity and attach an uploaded file to the account.

When a file is uploaded against the entity, it is in the Available status. This means the file is sitting in a central holding area and has not yet been attached to a specific account. Once you attach a file to an account, the status of the file changes to Attached. Also, the File button for that account becomes active (blue colour) on the Trial balance page. This is an indicator to other users that there is a file to open, and forms part of the accounts review process.

Upload a file

  1. Open the Files tab in one of the above locations.
  2. Click the Upload file button.
  3. Locate and select the file, and click Open.

Replace a file

If there is a change to the source file, you can upload the new version to the system.

On the Files tab, click the file’s Settings button , then click Replace file.

Attach an uploaded file to an account

  1. On the Trial balance page, click the account to open it.
  2. Click the Files tab > Available tab.
  3. Locate the file you want to attach to the account, then click the Settings button.
  4. Click Attach to this workpaper.

Remove a file from an account

If a file is no longer required for an account, you can remove it from that account. This process simply unlinks the file to the account; the file remains in the system so it be attached to other accounts.

  1. On the Trial balance page, click the account to open it.
  2. Click the Files tab > Attached tab.
  3. Locate the file you want to remove, then click the Settings button.
  4. Click Remove from this workpaper.

Archive a file

When you archive a file it moves to the Archived tab, where it can be restored later.

On the Files tab, click the file’s Settings button , then click Archive.

Delete a file

When you delete a file it is permanently removed from the system.

On the Files tab > click the file’s Settings button > click Delete.
